Institutional Syllabus

 

About This Document

Chemeketa’s Institutional Syllabus is a living document designed to consolidate and communicate essential information, resources, and policies that are universal to all Chemeketa students. It may be periodically updated, revised, or modified, pending approval from the Office of Academic and Student Affairs. While every effort is made to ensure the accuracy and completeness of the content, users are encouraged to verify any information with the relevant departments or listed contacts. Policies related to Educational and Student Services may also be referenced in the Policies and Procedures area of the college website.

Dates and Deadlines

For full 11-week terms:

  • First week of term: Attend and participate in classes. Students not in attendance or absent without instructor permission will be dropped. Online courses will include instructions for satisfying the attendance requirement.
  • Friday of Week 2, 5 pm: Last day to drop a course with a full refund
  • Friday of Week 4, 5 pm: Last day to request Pass/No Pass
  • Friday of Week 4, 5 pm: Last day to request Audit.
  • Friday of Week 6, 5 pm: Last day to withdraw without a grade

Accelerated courses will have different deadlines. Refer to My Chemeketa for more information.


Policies and Procedures

Mandatory Participation

Financial aid regulations require the college to drop students who do not attend or participate within the first week of the course start date. Students who are eligible for financial aid must attend and actively participate in their courses or risk being administratively dropped and losing their eligibility. Refer to the course syllabus for further information about how active participation is defined. If you have questions about this policy (POL 4015), contact Enrollment Services.

Final Exams

During Fall, Winter, and Spring terms there is a different schedule for the designated Final Exam week. Final Exams take place during the last week of Summer term. Scroll to the bottom of the Academic Calendar page for details about the exam schedule and information about rescheduling exams. Rescheduling a final exam requires special circumstances, such as having more than two exams on the same day or if exam times conflict. 

Grading 

Reporting

Final grades are available through the My Chemeketa portal the Wednesday following the final week of the term.

Incomplete Grade

An instructor may grant an incomplete grade when some essential requirement of the course has not been completed and they decide to provide additional time to complete the coursework. A request for an incomplete grade should be directed to your instructor. 

Final Grade Appeals

Chemeketa has an appeal process for students who believe they have been given an incorrect or inappropriate final grade for a course. This process is only available to appeal a final course grade, not individual assignments. To start a grade appeal, complete the online grade appeal form.

Student Rights and Responsibilities

Chemeketa Community College provides opportunities for students to explore, learn and succeed through quality educational experiences and workforce training. The Student Rights and Responsibilities explains the rights and expectations for individuals who choose to become part of the Chemeketa community through enrollment in a course or program.

Academic Honesty

Academic honesty is an important building block of any learning community. Students and instructors demonstrate academic honesty when they participate truthfully, fairly, and respectfully. Being dishonest in your academic work not only interferes with your personal growth as a learner, it has a negative impact on your class community.

Chemeketa takes academic dishonesty seriously. If you are found in violation of Chemekta's academic honesty policy (POL 5020), you may be subject to the disciplinary process as reflected in Chemeketa's academic honesty procedure (PRO 5020) and the Student Rights and Responsibilities. Violations of academic honesty include, but are not limited to, plagiarism, cheating, falsification, tampering, and getting inappropriate assistance. Violations also include using any form of generative artificial intelligence (such as text, image, or code generators like ChatGPT or Bing Chat) to complete your assignments or exams for this class, unless your instructor specifically allows it.

Class Recording

Students may record lectures as long as the recording device is not concealed. Recording of instructional content may not be used for any reason other than personal educational purposes and may not be shared publicly. 

Use of College-Owned Technology, Network, and Communication Resources

Chemeketa provides its students wide access to information resources and technologies. The college recognizes that making technological resources more accessible furthers the free exchange of opinions and ideas essential to academic freedom.  

Use of college-owned technology resources constitutes consent to network monitoring, and although monitoring is not continuous, users should always assume that their communication on college resources is not private.  Information on college resources may be monitored, intercepted, recorded, read, copied, or captured in any manner and disclosed in any manner by authorized parties to the extent allowed by state and federal law. Therefore, the college does not guarantee the privacy of any information or communications transmitted over its network, technology, or communications resources. This includes, but is not limited to, email and social media, whether work related or personal. All electronic communications are subject to state and federal public records laws.  

All electronic communication is expected to comply with the college’s Respectful College Community policy (POL 1752) regarding respectful treatment of others.

Students using college technology resources are prohibited from the following activities: 

  1. Unauthorized access to resources or systems of the college or another entity. 
  2. Downloading or storing hacking tools unless specifically directed to by an instructor as part of the educational curriculum. 
  3. Duplicating software in violation of copyright laws, including downloading and/or distributing pirated software. This includes digital images, songs, videos, and other copyrighted electronic media.   
  4. Breaching security or providing information that could allow unauthorized access to the college network or to college data.  
  5. Intentionally introducing computer malware unless done under the direction of an instructor on a system provided by the instructor as part of the educational curriculum. 
  6. Altering or destroying college computer-based information, systems, or resources.  
  7. Using college technology to violate other college policies. 

Diversity

We are a college community enriched by the diversity of our students, staff, and community members. Each individual and group has the potential to contribute to our learning environment. Each has dignity. To diminish the dignity of one is to diminish the dignity of us all.

Concern about a Student 

If you are concerned about a student who may need assistance or believe a student has violated the student code of conduct, you can submit the student concern reporting form, or contact the Student Affairs office in building 2, room 208 on the Salem campus, or by email at studentconcerns@chemeketa.edu. Chemeketa’s Student Rights and Responsibilities describes the conflict resolution process.

Title IX - Prohibition of Sex Discrimination 

Chemeketa is committed to providing everyone with an environment focused on learning and growth, free of discrimination or harassment. Such behaviors will not be tolerated and are against college policies. See the Title IX Process and Resources for information about reporting sex discrimination and sexual misconduct (including sexual harassment).

College Closures and Inclement Weather

During periods of inclement weather when the possibility of campus closures exists, the college will make a decision about the length and magnitude of the closure in the early morning hours. That information will then be posted to Chemeketa’s emergency notification site

Student Services

Academic Advising 

Community college students who seek out academic advising are more likely to meet their educational goals than those who do not. An advisor helps you develop your educational plan, select and register for classes, and prepare to transfer to a four year university. Academic advisors also help you understand college procedures and identify helpful resources. Academic advising is available for any Chemeketa student.

Students enrolled in certain career and technical programs are served by faculty advisors who help to develop and monitor your educational plan. Faculty advisors are best equipped to guide you in selecting and registering for the appropriate sequence of courses. They also help you understand college procedures and identify helpful resources. 

Email your faculty advisor directly or schedule an appointment through your Navigate App. 

If you do not know who your faculty advisor is or if you have changed your major, connect with Academic Advising for assistance.  

Essential Resources and Basic Needs 

Chemeketa has a Student Resources Navigator to assist students with essential resources that meet basic needs. They also administer the Student Emergency Funds at the college. If you need food, health care, housing resources and other basic needs support visit the Student Resources Page for information and support. Your Student Resources Navigator is available to meet with you to discuss more options. Make an appointment via your Navigate app and choose Student Resources or reach out at studentresources@chemeketa.edu.  

Counseling Services 

Chemeketa offers free, confidential, short-term counseling services to currently enrolled students. Counselors assist students with academic, personal and career counseling and work with students to improve life skills, reduce anxiety and manage stress, choose a career and locate community resources. Counselors also help students manage barriers and personal matters related to college success. 

Make an appointment with a Counselor via Navigate app and choose Counseling Services or reach out at counseling@chemeketa.edu. Counseling Services is located on the Salem Campus in Building 2 Room 230. Counseling is available at the Salem Campus in person and remote every term. Limited in person and remote services are offered at the Woodburn Center and Yamhill Valley Fall, Winter and Spring terms. Polk Center, Brooks Regional Training Center and Chemeketa Eola have remote services available. 

Crisis Counseling

If you are in immediate crisis, our On-Call Counselor may be seen without an appointment Monday - Friday 9 am-5 pm during active terms and is located in building 2, Room 230 or remote. The on-call counselor can be reached by calling 503.399.5129.  If you are experiencing a crisis when counseling services are not available, contact the Crisis Hotline (503.581.5535) or the Behavioral Health Crisis Center (503.585.4949) which have qualified individuals to respond to mental health emergencies at all hours. 

Student Accessibility Services

Accommodations are determined by Student Accessibility Services on a case-by-case basis through an interactive process. If you have already met with and been approved for accommodations through Student Accessibility Services and requested them for this term, both you and your instructor receive a Letter of Accommodation by e-mail. Students are encouraged to contact their instructors early in the term to discuss the implementation of their approved accommodations in each class. Students who believe they are eligible for accommodations but who have not yet obtained approval through Student Accessibility Services should phone 503.399.5192, visit the office on the Salem Campus in Building 2/174, or visit the Student Accessibility Services website.

Services for Veterans

Veterans and active duty service members dedicate their lives to serving our country and its people. We believe it is our duty and privilege to repay that service by giving them the help they need to reach their educational goals. Chemeketa’s Veterans Services provides information about eligibility, admission, financial aid, GI Bill® and many other important college resources to help you reach your educational goals.

Land Acknowledgement

Chemeketa is situated on the land of the Kalapuya, who today are represented by the Confederated Tribes of the Grand Ronde and the Confederated Tribes of the Siletz Indians, whose relationship with this land continues to this day.  We offer gratitude for the land itself, for those who have stewarded it for generations, and for the opportunity to study, learn, work, and be in community on this land. We acknowledge that our college’s history, like many others, is fundamentally tied to the first colonial developments in the Willamette Valley.  Finally, we respectfully acknowledge and honor past, present, and future Indigenous students of Chemeketa Community College.
